A power outage during an active QuickBooks session is one of the most damaging things that can happen to your company file. When the lights go out — or the system crashes, or a UPS fails — QuickBooks doesn’t get a chance to finish what it was doing. If it was in the middle of writing to the file, the result is a partially written record and broken internal pointers. Lists are especially vulnerable because QuickBooks updates list indexes frequently during normal operations.

How Mid-Write Corruption Damages Lists

QuickBooks doesn’t write to your company file once at the end of a session. It writes continuously — every time you save a transaction, edit a name, or navigate between screens. These writes involve multiple internal structures: the data record itself, the index that makes it searchable, and the pointers that connect it to related transactions.

A power outage interrupts this process mid-stream. The result depends on exactly what QuickBooks was doing at the moment of failure:

  • Index update interrupted — The list entry exists in the file, but the index that makes it visible to QuickBooks is incomplete. The entry effectively disappears from the Customer Center, Vendor Center, or wherever it should appear.
  • Record write interrupted — A list entry was being created or modified, and only part of the record was written. QuickBooks can’t read a partial record, so it skips it entirely.
  • Cross-reference update interrupted — QuickBooks was updating the links between a list entry and its transactions. The entry may still appear in the list, but its transaction connections are broken — or the entry disappears because the cross-reference pointed to invalid data.

The TLG (Transaction Log) file plays a role here too. QuickBooks uses the TLG to track changes between backups. If the TLG was also being written at the moment of the power outage, it may be damaged or out of sync with the company file, compounding the data loss.

Symptoms After a Power Outage

After recovering from a power outage and reopening QuickBooks, you might see:

  • Partial list loss — Some customers, vendors, or employees are gone while others remain. The missing ones were the records being indexed at the moment of failure.
  • Complete list loss — An entire list type is empty. This happens when QuickBooks was performing a broader index operation that affected the whole list.
  • Mixed corruption — Lists are partially missing AND some transactions show errors or reference names that no longer appear in any list. This indicates the outage hit multiple write operations simultaneously.
  • File won’t open — In severe cases, the corruption is significant enough that QuickBooks can’t open the file at all, or opens it with immediate errors.

The TLG Recovery Angle

When we analyze a power-outage-damaged file, we examine both the company file (.QBW) and the Transaction Log (.TLG). The TLG often contains list changes that occurred between the last backup and the crash. If the TLG is intact, we can use it to reconstruct list entries that were lost in the company file — effectively replaying the changes that the power outage interrupted.

This is one reason we ask customers not to create a new backup or restore from an old backup before sending us the file. Both of those actions can overwrite or reset the TLG, eliminating a valuable recovery resource.

Contact us for a free assessment. Send both your .QBW and .TLG files, and we’ll tell you exactly what we can recover.

Frequently Asked Questions

Why does a power outage cause lists to disappear?
QuickBooks writes to the company file continuously during a session. If power is lost while QuickBooks is updating internal indexes or writing list records, the interrupted write leaves behind partial data. The list entries may still exist in the file, but the index pointers that make them visible are broken or incomplete.
Can the Transaction Log (.TLG) help recover the data?
In some cases, yes. The TLG file records changes made since the last backup. If the TLG is intact, it may contain list changes that were lost when the power went out. We analyze both the company file and the TLG file during recovery to maximize what we can restore.
Should I run Verify and Rebuild after a power outage?
We recommend letting us examine the file first. When corruption involves broken list pointers from an interrupted write, Rebuild can sometimes remove references it doesn't know how to repair, making the recovery harder. Our techniques can work with the raw data before any cleanup tools have modified it.
