QBO Year-End & Closure Data Archive

Archive a complete snapshot of your QuickBooks Online data at year-end or when closing a business -- Excel, CSV, or database -- to meet retention requirements without paying for an active subscription.

A fiscal year does not really end when you file. Tax authorities can look back years; lenders, investors, and former partners may ask for historical detail long after the books are closed. A year-end archive captures a complete, dated snapshot of your QuickBooks Online data so the record is fixed and yours — independent of whether you keep the subscription running.

When a business closes, the need is even sharper. The financial obligations of a dissolved company do not end the day you cancel your software. The IRS still expects you to produce supporting records if it examines a final return; outstanding receivables and payables still need their detail. Keeping QuickBooks Online active purely to access that history is an unnecessary cost.

The retention problem

QuickBooks Online is not a long-term archive. Once you cancel, your data goes read-only for a limited window and is then deleted — well short of the multi-year retention the IRS and state agencies expect. Relying on Intuit’s post-cancellation access to cover your retention period is a gamble you do not need to take.

A complete backup converts that liability into a settled matter. We extract everything — every list and your full transaction history with line items and attachments — and deliver it in the format you choose. Stored on a drive or in cloud storage, the total cost of maintaining your complete financial archive is effectively zero.

What a year-end archive gives you

  • Tax records — all revenue and expense transactions and tax-related journal entries for the period
  • Customer and vendor history — invoices, payments, bills, and credits for every relationship
  • Banking — deposits, transfers, and reconciliation detail
  • Lists — chart of accounts, items, and the rest of your setup as it stood
  • Attachments and reports — supporting documents and key financial statements

Whether you are locking down a single year-end or preparing to close the business entirely, we make sure the complete record is preserved before access ends. Tell us the period and format, and we will build your archive.

Frequently Asked Questions

How long do I need to keep business records?
The IRS generally requires you to keep business records for at least three years, four years for employment tax records, and longer in some situations -- up to seven years, or indefinitely in cases involving fraud or unfiled returns. Asset records should be kept until the statute of limitations expires for the year you dispose of the asset. A complete archive covers all of these.
Can I archive every year-end separately?
Yes. Many businesses take a fresh full backup at the close of each fiscal year so they have a clean, dated snapshot of the books as filed. We can do this as a one-time archive or on a recurring basis.
What if my business is closing entirely?
A closure archive captures everything before you dissolve and cancel QuickBooks Online. CSV and Excel files cost nothing to store, so you can meet years of retention requirements without keeping a paid subscription open.
