QBO Full Data Backup to Excel, CSV & Database

A complete offline copy of your QuickBooks Online data -- every list and your full transaction history with line-item detail, delivered as Excel workbooks, CSV files, or a relational database you own and control.

Your QuickBooks Online company holds years of financial history — every invoice, bill, payment, journal entry, and the customer and vendor records behind them. That data is the financial backbone of your business, but as long as it only lives inside Intuit’s cloud, your access to it depends entirely on an active subscription. Cancel, and Intuit keeps your data read-only for a limited window before deleting it for good.

A QBO Full Data Backup gives you a complete, independent copy of everything — delivered as Excel workbooks, CSV files, or a relational database, whichever suits how you work. You decide where it lives and how long you keep it. No QuickBooks login required, no ongoing fees to read your own history.

What QuickBooks Online’s built-in tools leave out

It is a common assumption that QuickBooks Online can simply export everything. It cannot. The native Export Data tool produces a ZIP of Excel reports and a handful of lists, but it omits transaction line-item detail, drops the link between attachments and their transactions, and does not include your audit log. The separate Online Backup & Restore feature is restricted to the Advanced plan, and even there it only rolls the entire company file back to an earlier state rather than handing you a usable copy of the data.

The result is that most businesses discover — often at the worst possible moment, when they are leaving the platform or facing an audit — that they never actually had a complete, portable copy of their own records.

What we deliver

We connect to your QuickBooks Online account with read-only access and extract your data through the QuickBooks Online API and its export tools. That means:

  • Every list — chart of accounts, customers, vendors, employees, products and services, classes, locations, and terms
  • Your full transaction history — invoices, sales receipts, estimates, credit memos, bills, bill payments, checks, deposits, transfers, journal entries, and more, with line-item detail intact
  • Attachments — the documents stored against your transactions, downloaded and organized rather than scattered behind pagination
  • Reports and audit history — key financial reports and, where the platform allows, your audit log, captured through QuickBooks’ own export tools

The output is organized by record type, clearly named, and structured so it makes sense the day you receive it and years from now.

Choose your format

This is a backup built around how you will actually use the data:

  • Excel — a clean workbook (or set of workbooks) with one tab per record type, ready to open, read, and filter
  • CSV — universal, lightweight files that import into virtually any system with no special software
  • Database — a true relational copy in SQLite, SQL Server, or Access, ready to query and report against, ideal for larger companies and for feeding data into another application. If SQL Server is your target, see our dedicated QuickBooks Online to SQL Server Backup service, which delivers a restorable, version-matched backup with a built-in data dictionary and verified totals

Why businesses do this

Some are leaving QuickBooks Online and want their history secured before they cancel. Some are staying but need an offline archive for compliance, audits, or disaster recovery. Some are handing data to an accountant, a buyer, or an auditor who does not have — and should not have — a login to the live company. Whatever the reason, the outcome is the same: your complete QuickBooks Online data, in a format you control, stored where you choose, for as long as you need it.

With over 26 years working with accounting data in every format imaginable, we handle the entire extraction so you do not have to stitch together a dozen partial exports. Tell us about your company file and how you plan to use the backup, and we will get you a complete copy of your own data.

Common Issues We Handle

  • QuickBooks Online's built-in export leaves out line-item detail, attachments, and your audit history
  • Online Backup & Restore is only available on the Advanced plan, and even then it only rolls the whole file back a year
  • After you cancel QuickBooks Online, your data is read-only for a limited window and then deleted permanently
  • You need a real, structured copy of your data -- not a pile of disconnected report exports

Frequently Asked Questions

What data is included in the backup?
Every list and your full transaction history -- chart of accounts, customers, vendors, employees, products and services, plus invoices, bills, payments, deposits, journal entries, credit memos, and every other transaction type, exported with line-item detail. We also pull down your document attachments. Items that QuickBooks Online does not make available through its API, such as the full audit log, we capture through QuickBooks' own export tools so your archive is as complete as the platform allows.
Excel, CSV, or database -- which should I choose?
Excel is best if you want to open and read the data right away, with one tab or workbook per record type. CSV is the most universal format and imports into almost any system. A database (SQLite, SQL Server, or Access) is the right choice when you want a true relational copy you can query -- ideal for large companies, audits, or feeding the data into another application. If you are not sure, tell us how you plan to use it and we will recommend the format.
Why can't I just use QuickBooks Online's own export?
QuickBooks Online's Export Data tool produces a ZIP of Excel reports and lists, but it leaves out transaction line-item detail, your audit log, and the link between attachments and the transactions they belong to. The native Online Backup feature is limited to the Advanced plan and only restores the entire file to a prior point. Neither gives you a complete, structured, portable copy of your own data. That gap is exactly what this service fills.
How long do I have to back up before I lose access?
Once you cancel QuickBooks Online, Intuit keeps your data in a read-only state for a limited period -- generally about a year -- and then deletes it. The IRS expects you to retain business records for three to seven years, and longer in some cases. We strongly recommend taking a full backup before you cancel, while you still have access.
Is my data kept secure during the process?
Yes. We connect with read-only access, never alter your live company file, and handle your data under strict confidentiality. We can work under an NDA, and your finished backup is delivered to you through a secure link.
