QuickBooks Online to SQL Server Backup

A complete, restorable Microsoft SQL Server backup of your QuickBooks Online company. Every list and transaction with line-level detail, a full data dictionary, and totals verified against your own reports.

QuickBooks Online holds your books. It does not give you a database you own. There is no full-backup button, and the built-in exports produce disconnected reports rather than a structured copy.

This service closes that gap with a real database. We extract your complete company through Intuit’s official interfaces and deliver it as a Microsoft SQL Server backup. Your team restores it on your own server and queries it with SQL Server Management Studio, Excel, Power BI, or any tool that speaks SQL.

What the delivered database contains

  • Every list. Customers, vendors, employees, the chart of accounts, products and services, classes, locations, terms, payment methods, sales tax codes and rates, budgets, and currencies. Inactive entries included.
  • Every transaction in your chosen date range. Invoices, payments, bills, credit memos, deposits, journal entries, expenses, transfers, and the rest. Each transaction keeps its line detail in related tables, in the original order. Voided transactions are included with their void status.
  • The reports you select. Profit and Loss, Balance Sheet, Trial Balance, General Ledger, and aging reports, stored beside the raw data.
  • A built-in data dictionary. One table inside the database documents every table and every column: its type, the QuickBooks Online field it carries, and a plain-language note. Your team never has to guess what a column means.

Verified, not assumed

You export a Trial Balance and aging summaries from your own QuickBooks Online. We reconcile the delivered database against them and deliver the results, check by check. An exception report names any record that could not be delivered. An empty exception report means nothing was lost. You do not have to take our word for any of it.

Built for your server

A SQL Server backup restores only on the same version or newer. We build the database for the exact SQL Server version you nominate, so the restore is a five-minute job for your IT person, not a project. Azure SQL Database targets receive a .bacpac instead of a .bak. Restore instructions and a version-mismatch troubleshooting guide ship with every delivery.

When businesses order this

  • Audit and retention. Regulators expect records you control. A login to a subscription is not an archive.
  • Leaving QuickBooks Online. Intuit keeps your data read-only for a limited period after cancellation, then deletes it. Take the copy first.
  • Reporting and BI. Point Power BI or your data warehouse at real tables instead of exporting screens one report at a time.
  • Company sale, merger, or dissolution. Hand over a complete, independent, verifiable copy of the books.

Frequently Asked Questions

What exactly do I receive?
A standard SQL Server backup file (.bak, or .bacpac for Azure SQL Database) that you restore on your own server. Inside the database, a data dictionary table documents every table and column. You also receive a reconciliation summary that compares the delivered totals against reports you export yourself, an exception report that names any record that could not be delivered, and step-by-step restore instructions.
Which SQL Server versions are supported?
SQL Server 2019, 2022, and 2025, plus Azure SQL Database. A SQL Server backup restores only on the same version or newer, never on an older one, so we build the database to match the version you tell us. Confirm your target version before work begins.
How is this different from the QBO Full Data Backup?
The Full Data Backup delivers your data as Excel workbooks, CSV files, or a general database file, and is the right choice for reading and archiving. This service delivers a production SQL Server database: relational tables with line-level detail, indexes, a built-in data dictionary, and verified totals, as a backup file your DBA restores in minutes. Choose this one when the data must live in SQL Server.
Is anything changed in my QuickBooks Online company?
No. We connect with read-only accountant access and only read your data. Nothing is changed or overwritten, and you can remove our access the moment the extraction is complete.
What is not included?
QuickBooks Online does not expose some data to any extraction tool, from any vendor: the audit log, bank feed items still in For Review, users and permissions, reconciliation status, tags, mileage, and custom form designs. Payroll detail is a closed subsystem; we can archive your payroll report exports alongside the database. Attachment files are available as a separately scoped add-on, and their metadata is always included. We state all of this before you order.
