QuickBooks Online to Desktop Conversion

Move a QuickBooks Online company into a QuickBooks Desktop company file you own outright. Lists in full, transaction history for the range you choose, reconciled against your Online reports before handover.

Request a Quote

Reconciled before you see it

The converted file is checked against the source company's own balances before handover, rather than left for you to discover a discrepancy at year end.

Your Online company is only read

Nothing in the source is changed, moved or deleted. Access is read-only and you can revoke it the moment the work is done.

Evaluation before any price

An engineer profiles the company first and reports what the move actually involves, so the quote is fixed rather than discovered halfway through.

The differences written down

Anything that could not be represented the same way in Desktop is documented, so the gaps are known rather than silent.

Leaving QuickBooks Online is a decision plenty of businesses reach, and the reasons are rarely dramatic. Speed on a large file. Inventory workflows that behave the way you expect. An accountant who works Desktop-first. A one-time licence instead of a subscription that renews forever. What stops people is not the decision — it is the history. Years of transactions live in the Online company, and nobody wants to start a Desktop file at zero.

Why This Is a Conversion, Not an Export

QuickBooks Online and QuickBooks Desktop do not share a data model. They are two different products that happen to describe the same accounting reality, and the way each stores a customer, an item, a tax line or an estimate is genuinely different underneath.

That means nothing is simply moved. Every record has to be re-created on the Desktop side, and every internal reference — which customer an invoice belongs to, which account a line posts against, which invoice a payment settles — has to be re-pointed at the Desktop file’s own version of that record. Do that carelessly and you do not get an error message. You get a company file that opens perfectly and quietly disagrees with your accounts.

Intuit does provide an export, and for a very small company with a short history and no inventory it can be enough. It is worth trying first. But it is version-picky, it strains as the company gets larger, inventory is the part it handles worst, and depending on your plan and region you may find it incomplete or simply not there. Most importantly, it does not reconcile the result. It hands you a file; it does not tell you whether that file is right.

What Actually Crosses

Lists come across in full — the whole structure your books are built on, not a sample. Chart of accounts, customers, vendors, employees, items, classes, departments or locations, terms, payment methods, tax codes and tax rates, and your budgets.

Transactions come across for a date range you choose before the work starts: invoices, bills, payments, bill payments, journal entries, estimates, sales receipts, credit memos, refund receipts, purchases, purchase orders, deposits, transfers and time activities. Records are written in dependency order — lists before the transactions that reference them — so the file is internally consistent at every stage rather than only at the end.

Not carried: attachments, audit-log history, bank-feed connections, recurring templates and custom report layouts. Several of these have no equivalent in the Desktop file format at all. Payroll history, filings and reconciliations sit outside the conversion, and reconciliation state does not transfer between the platforms — you will re-reconcile the first period in Desktop against your statement, then continue normally.

The Four Things That Decide How Hard Your Company Is

Multicurrency. Every foreign-currency transaction carries an exchange rate that has to survive the move, and the currency setup must exist in the destination before anything lands.

Inventory quantity tracking. Quantities, valuation and the inventory start date all have to reconcile afterwards. A start date later than a transaction’s own date will cause QuickBooks to reject that transaction outright, so it is set deliberately.

Automated Sales Tax. QuickBooks Online recomputes tax from the customer’s location and ignores explicit tax lines. Converted tax gets re-checked rather than trusted.

Progress invoicing. It has no clean equivalent on the Desktop side, so each affected estimate chain needs a decision rather than a blanket default.

If your company uses none of the four, this is a straightforward job. If it uses several, that is exactly what the evaluation is for.

E-Tech Corporation publishes the full engineering detail of this work, including how the reconciliation is carried out, in its write-up on converting QuickBooks Online to Desktop.

Before You Start

Decide two things: which Desktop edition and year you will actually be running, and how far back you want the transaction history to go. The first matters because Desktop file upgrades are one-way — build for the wrong release and the file will not open where you need it. The second drives the size and the cost of the work, and if you are unsure, the evaluation exists to answer exactly that.

Then keep your QuickBooks Online subscription alive until you have opened the Desktop file and checked it against your Online reports — Trial Balance, Balance Sheet, the A/R and A/P aging summaries, and your bank and credit-card register balances. Once those tie out, the subscription is yours to cancel.

Common Issues We Handle

  • QuickBooks Online no longer suits how the business works and you want to go back to Desktop
  • The built-in export will not run, or produced a Desktop file whose numbers do not agree
  • Inventory came across wrong, or did not come across at all
  • Your accountant works Desktop-first and cannot use the Online company
  • You want to stop paying a subscription and own the file outright

How It Works

1

Tell us which QuickBooks Desktop edition and year you will be opening the file in

2

Grant read access to the Online company -- authorize our connected application, or add us as an accountant user

3

We profile the company read-only and report what the move involves

4

You approve a fixed quote before any work begins

5

We build the Desktop file, reconcile it against your Online reports, and hand it over with the differences documented

Frequently Asked Questions

Does QuickBooks not already export from Online to Desktop?
There is a built-in export, and for a very small, simple company it can be enough. In practice it is narrow: it is particular about which Desktop release it will target, it struggles as the company gets larger and the history longer, and inventory is the part it handles worst. Depending on your plan and region you may find it incomplete or unavailable. It also does not check its own work -- it hands you a file without telling you whether the balances agree with what you saw in QuickBooks Online.
Do you need my QuickBooks Online username and password?
No. We never ask for your QuickBooks Online login. You either authorize our connected application against the company, or add our team as an accountant user. Either route gives read access and nothing more, and you can remove it as soon as the work is done.
What carries over into the Desktop file?
Lists convert in full: chart of accounts, customers, vendors, employees, items, classes, departments or locations, terms, payment methods, tax codes and tax rates, and budgets. Transactions convert inside a date range you agree before the work starts -- invoices, bills, payments, bill payments, journal entries, estimates, sales receipts, credit memos, refund receipts, purchases, purchase orders, deposits, transfers and time activities.
What does not carry over?
Attachments, audit-log history, bank-feed connections, recurring templates and custom report layouts do not convert -- several of these are cloud-side constructs with no counterpart in the Desktop file format. Payroll history, filings and reconciliations are outside the scope. Bank feeds and recurring templates are set up fresh in Desktop, which is normal rather than a sign something went wrong.
Which Desktop edition can I convert to?
Pro, Premier or Enterprise. The exact edition and year is agreed before work begins, because Desktop company-file upgrades are one-way -- a file built for a later release cannot be opened in an earlier one, so we build for the release you will actually run.
Is inventory included?
Yes, and it is the part that most repays doing properly. Quantities, valuation and the inventory start date all have to reconcile afterwards, and a start date later than a transaction's own date will cause QuickBooks to reject that transaction outright. The start date is set deliberately rather than left to default.
Should I cancel my QuickBooks Online subscription straight away?
Not until you have opened the Desktop file and checked it. Keep Online active -- read access is enough -- through at least the first verification pass, so the source is still there to compare against. Once you are satisfied, cancelling is your call.
Will you fix errors in my Online data while converting it?
No. We translate what is there. We do not add, re-code or correct transactions, and the conversion is not a bookkeeping engagement. Errors in the source arrive intact in the Desktop file, so review your P&L and balance sheet in QuickBooks Online before the work starts.
